From your Dashboard, click the Documents module in the left module menu. In the top right corner, click 'Create New' and select 'Category'.
In the 'Add New Document Category' window, enter your category name and a clear description. Enter a short key prefix, choose your starting document number, review the preview, and click 'Create'.
On the 'General' tab, configure default rules for documents in this category. Set download permissions under 'Document Security', select your 'Document Review Interval', set 'User Retraining Intervals', and enter the 'Training Grace Period'.
Next, configure your approval workflows on the right. Click 'Manage' next to 'Approval - Major Revisions', then click 'Add Step'. Enter a step name, select the action type like 'Needs to Sign', enter a signature reason, assign authorized roles or users, and click 'Save'.
Set up the remaining workflows by clicking 'Manage' next to each workflow type. Adjust the step details and signature reason, confirm authorized roles, and save. It is not mandatory to have workflow steps for each approval type, but it is highly recommended.
Navigate to the 'Roles/Permissions' tab at the top. Here, grant or restrict category permissions for different user roles or individuals, such as viewing documents, creating new files, or editing settings.
Next, select the 'PDF Export Options' tab. Here you can configure cover pages, signature logs, page headers, footers, and watermark settings for exported PDF documents.
Click the 'Custom Fields' tab to add category-level metadata.
To approve and activate the category, return to the 'General' tab. Click Actions in the top right, select 'Approve for Use', and click 'Yes' to confirm. Your category status updates to Active and is ready for use.
