Q: Can we set default full table view for entire company? Not at this time. You can share table views globally, but not set their default view. 

 

Q: Why did table views replace reports? My reports tab no longer contains any information. Table Views were always available in the Documents Full Table in the “save current report filters as a new report” dropdown, so now we’ve made sure they’re only available here to keep things consistent.

 

Q: Is it possible to share a table view with select users instead of whole company? Not at this time.

 

Q: Why is draft review no longer considered to be a workflow? At this moment, document authors can check on the status of the draft review by going to the Review and Suggested Edits side panel. We are going to be making an update to the draft review completely, and one of the enhancements will be granting users better visibility to each reviewer’s status. 

 

Q: Using Insights is an additional fee, correct? No. Stock Insights dashboards are included in your subscription. Only custom dashboards will incur an additional fee. 

 

Q: Has additional notifications been set up to be sent out to document owners for Periodic Review Documents that are coming due? This is something we’re looking into implementing. We’re thinking a notification that would come out 90, 60, 30 days out from the review date. 

 

Q: Is there a one-click way to clear all filters? For now, you can go back to your default view by clicking on the table view dropdown, which will clear out filters.

 

Q: Can ZenQMS allow one admin to see specific documents in a category and not another admin? Not at this time.

 

Q: How can you see who has been assigned to the draft review? Currently, you are able to see who has been assigned to the draft review by opening the 'Review and Suggested Edits' slider. This will show you all the users in the workflow and the date initiated. If you wish to see who has completed the review and who has yet to sign, you can see the items within the Insights Module under 'Documents with Pending Draft Reviews' Widget. In a future release, we will be including this information directly in the Draft Review workflow page from the 'Review and Suggested Edits Slider'.

 

Q: For reviewing documents in Microsoft Word for the web, do the people need to be listed as an author in order to review and comment on the document? No! You can share the Microsoft for the Web link with other users. They’ll be able to use this link to collaboratively edit as long as they are 1. a user in your account 2. logged in 3. the document is still a draft.

 

Q: Can we prevent an author from printing a document in which they are listed as an author? Authors have full access to the original file since they authored the file. 

 

Q: Can you tell me how I can search a phrase within the text of a document (assuming it is a searchable file type)? This can be done in the Documents Full Table (and Issues and Changes too!) by typing in the search next to the magnifying glass symbol.

 

Q: Do you have to leave a comment for periodic reviews? You still need to leave a comment for periodic review, even if you are marking that the document is still current. This is how the old Documents module used to behave, just with a different UI.

 

Q: Who all will be able to access the 'Manage Draft Reviewer' panel? There will be 3 permissions/roles that allow this: Authors, users assigned to Administration Account Super User Role, and users assigned to category permission “Can Edit any Document in this Category”.

 

Q: Is there a way to further filter the Training Insights by the Document Category? Not at this time.

Q: How do you enable the Insights module? You can activate insights by navigating to the settings tab > Active Modules. You will be able to see a toggle slider to turn this on for all staff. You will need permission in order to access the Active Modules page.

 

Q: Is Insights available in Sandbox? Yes! 

 

Q: Is there a way to exclude weekends during the days of approval for documents that require training? We have 24/7 clients so we cannot eliminate this.
