Q: Is there a way we can pull up a visual of documents in their lifecycle as in the current dashboard?
A: This information can be found on the Insights Dashboard.
Q: On the dashboard signatures, can you still search for keywords as a filter?
A: The search function still works as it does now!
Q: On the new dashboard, what roles will be able to see all documents which are lingering in draft or those which are past due?
A: The roles that have access to draft documents now (Super Users, authors, and category editors) will be able to see draft documents or documents that are in an active approval workflow.
Q: On the documents full table, can the columns be rearranged, or is the column order set?
A: The columns can be arranged and you can also save table views!
Q: Will we have to update any of our existing document categories?
A: If you would like to take advantage of the new features and permissions, you will need to update your existing categories.
Q: Can we rename the document workflow or add more workflows?
A: Only the four workflows offered (major, minor, retire, & periodic) and they can not be renamed.
Q: Will the periodic review and minor workflows rev up and have a new effective date?
A: Yes, the minor revisions will have their own effective date. The review interval, however, will be against the effective date of major revision.
Q: Is there a difference between the "complete training" blue button at the top vs. the white "complete training" button at the bottom?
A: Both buttons function the same way. We have added these two buttons, one at the top and one at the bottom, to make signing off easier. If you have many questions to answer, it will be easier to click the white “complete training” button at the bottom instead of scrolling back to the top!
Q: Since custom fields are now customized per category, will we still be able to add them to the documents full table through the column chooser (as we do now with the Customize button)?
A: You will still be able to bring in the custom fields into the full table.
Q: Are we able to configure a default view of the full table for the whole company?
A: Yes! You can customize the full table and “save” the view. Then you can choose to share this view with the whole company or you may keep the view private.
Q: Where is the manage categories button on the full table?
A: The document categories settings are now under the Settings icon.
Q: Will the document category column be able to be filtered by just entering a select number of letters (contains) instead of only equals?
A: Currently, this is set to only equals.
Q: Will users get emails for reviews coming due or just past due?
A: For this upcoming release, it will still be only for past due. We are planning on updating this so that users will get emails for upcoming reviews in one of the following releases after v29.0.0.
Q: Is a Minor revision the same as an administrative change?
A: Yes, you will be using minor revision for administrative changes that shouldn’t require retraining.
Q: For minor revisions, can we set it to not have users retrain?
A: For minor revisions, the default is that users will not be asked to retrain, which cannot be changed!
Q: Will we need to go in and set these workflows per individual category, or can we apply a certain set of steps across multiple doc categories?
A: The workflow approval steps will need to be configured for each category as they can vary from each other.
Q: Can you edit the details (name, description, etc.) of the categories when up-versioning? All other sections appear editable but not the details section.
A: We are more than happy to assist with editing the name, description, etc. from the backend. Please reach out to the help desk at help@zenqms.com and we can help with those changes once we deploy this release.
Q: What about watermark information for the individual categories; if you needed to change that for an export, would that require a different version of the category?
A: PDF Export Options can be updated within the active version of the category.
Q: When the update is live, will workflow steps default to the approval workflow?
A: Correct! The approval for major and minor revisions and retirements will default to the approval workflow to mimic what you see in the current module.
Q: Will all new settings be defaulted to no/inactive until we choose to utilize them?
A: For the PDF export options, yes. The new settings will be defaulted to no/inactive until you choose to utilize them other than the watermark text. Non effective state and retired state watermarks will have default values populated.
Q: Will custom fields currently used in the Issues module be visible in the documents module?
A: Your account custom fields will be visible to be added to the a document category but not the stage custom fields.
Q: Can Key IDs be edited in the new version? When we launched, the feature was new and we did not fully understand how to use it. We would now like to reset all of our document Key ID's. Is it possible for us to do that or will we require help desk assistance?

Q: Is it possible to manage approvers when a workflow has been launched?
A: We now have a delegation option for approval steps. If the user selected is unable to complete the signature, the workflow step may be delegated to another authorized user.
