Delegating signatures for documents streamlines the approval process by allowing designated individuals to sign off on documents without needing to wait for a specific person, if they are not available. It allows for delegation during absences (e.g., vacations or sick leave). Teams can continue functioning smoothly without delays, ensuring that quality processes are maintained.
Delegation Settings at Document Category Level
Delegation settings are document category/approval step specific. To allow for signature delegation for an approval step, please open the document category settings and select the workflow that you would like to allow for signature delegations.
Click on the add step button:
Add the step name and select needs to sign for the action type. Select the authorized users/roles that can complete this approval signature for this step. For the step options, click the box for can delegate:
Delegating a Signature
To delegate a signature, navigate to the document that is in an active workflow and open the document viewer/management window. Once there, click on the workflow/signatures icon:
In the approval slider box, select delegate next to the outstanding signature step:
Select the new user that will complete the signature from the dropdown. All users that were added to complete this signature step at the document category level will be listed on the dropdown:
Once the signature is successfully delegated to the new user, they will see the signature needed on their Main Dashboard:
