Insights Pro: Use Your Custom Fields for Slicing & Dicing

Overview

Administrators can enable custom fields to be included in Insights Pro datasets, making them available as datapoints within Edit mode. Once enabled, custom fields can be used to filter, group, and explore quality data in ways that match how your organization structures its operations.

 

Before You Begin

  • Confirm custom fields exist for Users, Documents, Issues, or Change Control in your ZenQMS account

  • Verify your custom fields are one of the supported types listed below

  • Confirm data has been populated into the custom field — fields without data input will not display in Insights Pro

 

How to Enable

Account Custom Fields
  1. Go to Settings → Custom Fields

  2. Open the custom field you want to use in Insights

  3. Select Advanced Options

  4. Toggle "Add to Insights Dataset" to on

 

Stage Custom Fields

  1. Go to Settings → Change Control or Settings → Issues

  2. Open a category and navigate to the relevant stage, or add a custom field to a stage

  3. Open the custom field and select Advanced Options

  4. Toggle "Add to Insights Dataset" to on

Supported Field Types

  • Single-select

  • Multi-select

  • Date

  • Yes/No

  • Integer

  • Decimal

  • Single line of text

Free-text fields (paragraph, rich text) are not supported due to business intelligence tooling filtering constraints.

 

Account vs. Stage Custom Fields

Both account and stage custom fields can be enabled for Insights Pro. Account custom fields are recommended where possible.

Account custom fields apply consistently across your entire dataset, producing reliable results across all modules in Edit mode.

Stage custom fields can also be enabled, but are specific to a module and category. Because of this, the same field may not exist across all records, which can result in incomplete or inconsistent data when analyzing across modules.

 

Where Custom Fields Appear

Once enabled, custom fields are available as datapoints in the data catalog for the following data types:

  • Users

  • Documents

  • Issues

  • Change Control

You will find the data catalog when either editing a dashboard or visualization in Insights Pro.
