Automating Recurring Reports

Overview

Scheduled exports in Insights Pro let you automatically deliver dashboards and visualizations to stakeholders on a recurring basis — no manual pulls, no delays. Once configured, exports are sent via email on the schedule you define.

 

What You Can Schedule

You can create scheduled exports for two types of content:

  • Dashboards — Export an entire dashboard in Snapshot, Slide Deck, or Raw Data format

  • Visualizations — Export an individual chart or table in Snapshot, Slide Deck, Formatted Table, or Raw Data format

 

Schedule a Dashboard Export

  1. Navigate to the dashboard you want to schedule.

  2. Click the (ellipsis) menu in the top right corner of the dashboard and select Schedule Export. This opens the Scheduled Exports panel.

  1. Click Create New.

  1. On the General tab, configure the following:

  • Start date — When the schedule becomes active

  • Frequency — Daily, weekly, or monthly

  • Recipients — ZenQMS users who should receive the export

  • Message (optional) — Custom text included in the notification email

  • Format — Snapshot, Slide Deck, or Raw Data

  1. Switch to the Filters tab to lock specific filter values into the schedule. By default, the export uses the filters saved on the dashboard. Use this tab to override them — for example, to always send "last 30 days" data regardless of how the dashboard is currently filtered. You can apply:

  • Date filters — A specific date range, a relative period (e.g. last 30 days), or a predefined timeframe

  • Attribute filters — Segment data by one or more specific attribute values

  1. Click Create to activate the schedule.

 

Schedule a Visualization Export

  1. Open the dashboard containing the visualization you want to schedule.

  2. Click the (ellipsis) menu on the visualization and select Schedule Export.

  1. Click Create New.

  1. On the General tab, configure the following:

  • Recipients — ZenQMS users who should receive the export

  1. Switch to the Filters tab to lock specific filter values into the schedule (see filter options above).

  2. Click Create to activate the schedule.

 

Manage Existing Schedules

Clicking Schedule Export on any dashboard opens the Scheduled Exports panel, which lists all active and paused schedules. From here you can filter by dashboard, recipient, or status.

To manage an individual schedule, click the menu on the right side of any row:

  • Pause — Temporarily stop delivery without deleting the schedule

  • Edit — Update frequency, recipients, format, filters, or message

  • Delete — Permanently remove the scheduled export

What Recipients Receive

Recipients receive an email at the scheduled time with the exported file attached. The email includes any custom message you added when configuring the schedule. Recipients must be existing ZenQMS users.

Limitations

  • Custom email branding and HTML email templates are not supported at this time.

  • Integration into external systems (e.g. Slack, Teams) is not available in this release.
