Automate Your Quality Signals with Alerts

Overview

Alerts in Insights Pro let you monitor any metric on a dashboard visualization and receive an email notification the moment it meets a condition you define. Set a threshold once — ZenQMS will surface what needs your attention so you don't have to keep checking dashboards manually.

You can alert on absolute values (e.g., open CAPAs exceed 20) or period-over-period changes (e.g., on-time document approvals drop more than 10% vs. last quarter). Alerts evaluate on a schedule you control and route notifications directly to the right people via email.

 

Set Up an Alert

  1. Open the dashboard containing the visualization you want to monitor.

  2. Click the (ellipsis) menu on the visualization and select Alerts.

  1. Click Create New.

  2. Configure the alert (see options below).

  3. Click Save to activate.

 

Alert Configuration Options

OptionDescription
MetricAny metric on the visualization. Optionally slice by attribute (e.g., alert on a specific site, department, or document type).
ConditionComparison operator and threshold value — greater than, less than, equals, and more. Supports period-over-period comparisons (e.g., drops more than 10% vs. last quarter).
Evaluation FrequencyHow often ZenQMS checks the metric. Minimum frequency is once per hour.
Trigger BehaviorChoose whether the alert fires every time the condition is met, or fires once then automatically pauses.
RecipientsEmail addresses of ZenQMS users who should receive the notification.
FiltersDashboard filter applied to the alert metric when being evaluated. 

 

Trigger Behavior

When configuring an alert, you choose how it fires once the condition is met:

  • Always — The alert fires every evaluation cycle in which the condition is met. Use this for ongoing monitoring where you want continuous visibility (e.g., training noncompliance stays above threshold).

  • Once — The alert fires a single time when the condition is first met, then automatically pauses. Use this for one-time breach notifications where you want to acknowledge and investigate before receiving additional alerts.

Paused alerts can be reactivated at any time from the alert management panel.

 

Manage Existing Alerts

Click the menu on any visualization and select Alerts to open the alert management panel. This lists all alerts configured for that visualization. From here you can:

  • Pause — Temporarily stop the alert without deleting it

  • Edit — Update the metric, condition, recipients, frequency, or trigger behavior

  • Delete — Permanently remove the alert

What Recipients Receive

When an alert fires, recipients receive an email notification containing the metric name, the condition that was met, and the current value. Recipients must be existing ZenQMS users.

Limitations

  • Custom email branding and HTML email templates are not supported at this time.

  • Integrations into external systems (e.g., Slack, Teams) is not available in this release.

  • Alerts evaluate at a minimum frequency of once per hour — real-time (sub-minute) alerting is not supported.
