Setting Up Your Account for Audits

The ZenQMS Audits module is essentially your company's digital control center for managing all audit-related activities. It moves everything—from initial planning to final closure—out of spreadsheets and folders and into one organized, compliant system. This module is used to schedule and track every type of audit, including your internal quality checks, external inspections by regulatory bodies, and especially the qualification audits of your critical suppliers. 

 

Inside the module, you will manage the audit scope and agenda, formally record observations and findings as they are discovered, compile the final audit report, and ensure that every single step of the process is formally approved. Most importantly, the Audits module is your primary tool for maintaining audit-readiness at all times. When an inspector asks for a record, the system makes it easy to immediately pull up a complete, tamper-proof history of any audit, ensuring your company can always prove its commitment to quality and compliance.

 

Before you can begin using the Audits module, you will need to complete the items below:

 

  1. Create at least one site (if your company already has a site that you would like to use, then you do not need to create an additional site)
  2. Assign a default messaging contact for this site and/or any site that you will use with the Audits module
  3. Create a Send to Auditee Workflow for this site and/or any internal site that you will use with the Audits module
  4. Create a Publish Final Report Workflow for any Audit Category that you will use with the Audits module
  5. Configure the Audits module settings (not required, but highly recommended)
