We are pleased to announce the 2023.2 release!
With this new version, we are introducing following new features/improvements along with some other minor improvements and also fixing some bugs across entire ZenQMS application:
- Introducing the “Key-ID” field into the Documents module. (Article)
- Introducing Notifications for Documents module (and document based training). (Article)
- Adding “Document ID” field in Documents: Archive full table and in ArchivedDocuments.csv from member account backup
- Adding User First Name, Last Name and email in the Public API endpoint “Get users info”
- Various Bug Fixes across entire application
Impact
This release affects:
- Any accounts using Documents module (and Trainings related to documents)
- Any accounts using Tasks module
- Any accounts using Account Backup
- Any accounts using Notifications
- Any accounts using the Public APIs
We are introducing the “Key-ID” field into the Documents module. This will help align the Documents module with other modules that already have that field (Change Control, Issues etc.). Users will have the option to configure a “Key” and a “Key Starting #” when creating Document Categories. For already existing Categories and Documents, field will be pre-populated at deployment.
We are introducing Introducing Notifications for Documents module (and document based training). Following events will trigger an email notification, based on user’s settings under Settings -> User profile -> Notifications
- User is assigned as document author
- Authors of a document will receive notification emails when
- Approval/Retirement workflow steps are Rejected
- Document completes the Approval workflow
- Document completes the Retirement workflow
- Document Completes the Draft Review workflow
- Users that have an active workflow step due receive Signature notifications based on their settings under User Profile -> Notifications -> Signatures
- Notifications for training due on Documents
- User is assigned first time to train
- User is assigned to train on a document directly as an individual OR as part of a group.
- User is assigned to train on a document through a course (as an individual OR as part of a group).
- Document is added to a syllabus of a course that already has users/groups assigned to train.
- User is added to a group that is already assigned to a document (directly or through a course).
- User is Forced to Retrain
- User is Activated and has trainings due
- User is required to retrain on a document that was upversioned. User is already assigned to train on a document version (directly - as individual OR as part of a group; through a course - an individual OR as part of a group). A new version of the document becomes approved, with Immediate Retraining Required = YES.
- User is assigned first time to train

To help prepare you for this review ahead of this being available in app.zenqms.com, we will invite all account administrators into test1.zenqms.com to view the contents of 2023.2 six (6) weeks before it is going to be available in app.zenqms.com. Documentation
This release is being managed through change control 301-52. You can download a copy of the first stages of the system release record, including the requirements and testing traceability matrix for release notes here: 2023.2 System Release Record 301-52 Release Notes. An entire release record will be available for review after the release is completed, in the auditor share account.

Version Details
ZenQMS comprises a microservice architecture that breaks up large functions into smaller services. This reduces risk in the development and release process. As such this flagship release version is actually composed of the releases of the individual services components. It is entirely possible for a component service to not change versions in a release cycle even if other components do. Here is the summary for this release.
ZenQMS Release 2023.2 contains the following “FixVersions”. We use FixVersion as an internal versioning scheme for our modules/services and maintain them in Jira.
