Description

With this minor release we are happy to announce a partnership with BioPharma Institute, introducing 78 GxP compliant courses to the SCORM Marketplace Catalog, enhancing user access to SCORM packages. The document PDF export process has been streamlined, allowing users to export documents with a single click, and improvements have been made to accurately display user statuses in completed workflows. New UI options have been added for clearing cached PDFs and reindexing documents for keyword searches, while localization enhancements have been implemented for PDFs and audit reports to support multiple languages. Additionally, new reports have been added to the Reports Module, and various user experience improvements have been made across the application.

 

Key updates include:

  • SCORM Marketplace Catalog - We're excited to introduce a partnership with BioPharma Institute that enhances our current SCORM add-on by offering 78 GxP compliant courses. As a reminder, content is a paid add-on, annual subscription.

    • TRAIN-1592 Allow user with permissions to choose from SCORM catalog - Users that are part of the Administrator: Account Super User role OR SCORM Owners with permission “Can Create, View, and be assigned as Owners on SCORM“ can now choose and import SCORM packages directly from a catalog, streamlining the process and enhancing content

  • Streamlined Document PDF Export Process - We've made it easier than ever to export documents directly to PDF, reducing the steps needed and improving user efficiency. This update allows users to quickly generate and retrieve PDFs with just a single click, following the PDF Export Options defined at the Document Category level. The download functionality will adhere to the Document Security settings established at the document level.

    • DM-7335 Add download icon under Documents Full Table to allow the users to export the documents to PDF - A download PDF icon has been added to the Documents Full Table, allowing users to export documents directly to PDF with a single click, following the PDF Export Options defined at the Document Category level.

    • DM-7570 Add download icon under Archive Full Table to allow the users to export the documents to PDF - To improve user efficiency, a download PDF icon has been added to the Archive Full Table, enabling users to export documents directly to PDF with a single click, following the current export logic per category settings.

  • Accurate user status representation in completed workflows - We have improved how user statuses are displayed in completed workflows to enhance compliance and data integrity. Previously, users who were disabled after submitting signatures were incorrectly shown as "Disabled." This update ensures that completed workflows accurately reflect the user's status at the time of signing.

    • AUTH-1474 Completed Issues/Change Controls, and Tasks workflows should not display users as 'disabled' if their status changed after workflow completion

  • New UI options on Document View/Edit page that allow users to clear cached PDFs and reindex documents for keyword search, enhancing the overall document management experience

    • DM-7343 [Document View/Edit] Add option to regenerate PDF conversion under More Options menu in order to clear cached PDFs - We've added a new option under the "More Actions" menu that allows users to regenerate PDF conversions. This feature is available to super users, document authors, and users with specific permissions (“Can Edit Any Document in this Category”, “Can Edit Document Details, Category Defaults, Custom Fields, and Links/Attachments“), ensuring that only authorized personnel can perform this action. The regeneration process clears the PDF cache and reconverts the document, providing a fresh and accurate PDF version. This update enhances document accuracy and reliability.

    • DM-7344 [Document View/Edit] Add option to reindex document in Cloud Search for keyword search, under More Options menu - This new feature, also under the "More Actions" menu, enables users to re-index documents for keyword search. It is accessible to super users, document authors, and users with specific permissions (“Can Edit Any Document in this Category”, “Can Edit Document Details, Category Defaults, Custom Fields, and Links/Attachments“). The re-indexing process flushes existing data and reindexes the document and its attachments, improving search accuracy and efficiency. This enhancement ensures that users can quickly find documents using keyword searches.

    • DM-7512 Add tooltips on the options Regenerate PDF conversion and Re-index Document for Keyword Search - To assist users in understanding these new options, we've implemented informative tooltips. These tooltips provide guidance on when and how to use the "Regenerate PDF Conversion" and "Re-index Document for Keyword Search" options, ensuring users can make informed decisions.

  • Link comment fields from Signature Sliders to Account Audit Trail: we are rolling out this functionality across other areas of the application

  • Streamlined Draft Review Process for Documents - Navigating the draft review process can be cumbersome, especially when accessing documents from email notifications. Our latest updates aim to simplify this journey, ensuring that participants can complete their reviews efficiently and without unnecessary hurdles.

    • DM-7379 Participant in an Annotations or Sequential draft review should be able to complete workflow after landing on View/Edit Document page - To improve the draft review process, we've added a Complete Draft Review button for Annotations and Sequential reviews on the View/Edit Document page, making it easier for participants to complete their tasks.

    • DM-7384 Participant in a Collaborative Editing draft review should be able to complete workflow after landing on View/Edit Document page - To facilitate the completion of Collaborative Editing draft reviews, we've added a Complete Draft Review button on the View/Edit Document page, streamlining the process for participants.

    • DM-7385 Handle Concurrency scenarios on Draft Review journeys: Restrict and alert users attempting to complete draft reviews while draft document has been removed and/or user is removed from review workflow or access - Users faced issues when removed from reviewers or when workflows were canceled while they were in the middle of a draft review. We've addressed these scenarios by providing clear error messages and refreshing the document state to reflect the current status.

    • DM-7566 Improve flow after submitting Sequential Draft Review starting from View/Edit Document page - After submitting a sequential draft review, users were not seeing updated document statuses. We've implemented a solution that triggers a refresh of the View/Edit Document page, ensuring users see the most current document information and actions based on their permissions.

  • Enhanced Localization for Documents PDFs - In response to client requests, we've enhanced our document management system to support localization of labels within viewed and exported PDFs. This update ensures that users can view document details in their preferred language, improving accessibility and user experience.

  • We began enhancing the recording of audit events for key actions across the app. By updating the system to capture and display audit metadata immediately during each transaction - rather than relying on a background worker - users will see audit trail events appear more quickly in the UI Audit Trail Table. This improvement ensures better transparency, faster compliance reporting, and a more responsive experience for administrators. We will implement these updates on a service-by-service basis over the next several releases. In version 30.1.0, we are applying these changes to the following areas:

    • DM-7427 [Document Categories] Category Field Changes 'Name', 'Description', 'Key' should go into effect only when the category version is made Active

    • DM-7599 Allow Authors, Super Users, and Users with 'Can Edit Any Document in this Category' permission to change categories across all statuses, except for Retired documents - Previously, only Super Users were allowed to change the category of Effective and Retired documents using the Move to Different Category option in the “More Options” menu. This restriction was causing issues for clients who need non-Super Users to manage these tasks. The change is to allow all three permissions (Authors, Super Users, and category permission 'Can Edit Any Document in this Category') to change categories across all statuses, except for Retired documents.

    • IM-1597 [Change Controls / Issues] When Adding Ad-Hoc workflow steps, the "Order" field should be implemented as a number selector (dropdown), allowing users to configure both simultaneous and/or sequential ad hoc signatures

    • INSIGHT-612 Insights: Ability to apply all dashboard filters at once. The ability to apply all dashboard filters at once feature lets you apply all filter changes on a dashboard in one step, instead of reloading the dashboard after every individual change. The dashboard only updates after you confirm your filter selections by clicking the Apply button.

    • MIG-560 [FlatFile Configuration Migration] Enabling document category migrations with or without workflows having checkboxes correctly updated. Note: this only affects the tool used internally by ZenQMS Support team to migrate existing configurations into the system.

    • MIG-582 [FlatFile Configuration Migration] Update the custom "Import" text. Note: this only affects the tool used internally by ZenQMS Support team to migrate existing configurations into the system.

    • REP-543 Improve the error message when the Reports table is not available for loading

    • REP-612 Add retired_at Database field to control report expiration visibility

    • ZENQ-7097 Tables with Checkboxes should support selecting a range of checkboxes by using a "shift-click" action - this enhancement applies to Users Table, Manage Assigned Trainees Table in Training slider from Documents, Controlled Copies table from Documents

Version Details

ZenQMS comprises a microservice architecture that breaks up large functions into smaller services. This reduces risk in the development and release process. As such this flagship release version is actually composed of the releases of the individual services components. It is entirely possible for a component service to not change versions in a release cycle even if other components do. Here is the summary for this release.

  • This announcement plus the banner announcement in the application to ALL users is our formal announcement for the release.

  • You will be able to log into test2.zenqms.com and try out the changes from 30.1.0 release ahead of 24-SEP-2025. This environment was refreshed on 18-AUG-2025 with your latest production data and will be available for you to login starting 10-SEP-2025.

  • To minimize disruption, we scheduled the 30.1.0 release deployment to sandbox and production separately. Both will occur outside top hours, to provide as little interruption to normal operations as possible. We expect zero downtime. This release introduces primarily new features and improvements that should not significantly impact your daily operations. You can immediately access the new functionality for testing at test2.zenqms.com. We encourage prioritizing testing the following features as they may have the most direct impact on your current workflows: the download icon for PDF export under Documents Full Table, workflow changes to prevent users from being marked as “Disabled” in completed workflows if their status changed post-completion, enhancements in Draft Review workflows for access and completion via email notification link, localization of PDFs exported from Documents, Audit Reports, and Observations modules, which may impact workflows, and UI updates across Audit Reports, Observations, and Training dashboards. Features such as the new Public API endpoints, UI options for clearing cached PDFs and reindexing documents for keyword search, new set of Reports, ability to select and import SCORM packages from a predefined Catalog can be explored at your convenience. We will be logging an internal deviation to document this exception to our minor release requirements.

  • The “Billing & Subscriptions Management” feature is entering the Beta phase and will be deployed in this release. This primarily affects account administrators, who will receive further information. A separate section in the traceability matrix outlines the requirements for this feature, included for informational purposes only. If you are not participating in this Beta phase, this does not affect you.

  • An updated copy of the UAT template will be available in your Auditor Share Account.

  • Deployment (as always) is handled by the ZenQMS team.
