The Folders Module

The Folders module provides a dedicated location for organizing and accessing various items within your account, including: documents, change controls, issues, tasks, and workflow items. This eliminates the need to navigate between different modules to locate related records. Instead, you can create a folder structure that aligns with your company's needs. In this training, you'll learn how to navigate the Folders module, build a folder structure, organize items into it, manage folders and their contents over time, and securely share a folder externally.

Getting Access to the Module

Access to the Folders module is controlled at two levels. First, the module itself needs to be enabled for your account. An admin can do this from 'Settings > Active Modules'. Second, once enabled, individual access is controlled by an account-level permission: Folders Access. Users assigned to a role with this permission will see Folders in the left sidebar and can view, create, and organize folders. Users without it won't see the module at all, even if it's enabled account-wide. Account Super Users have Folders Access automatically — no role configuration needed.

Navigating the Folders Module

The Folders module is divided into two main areas: the organization panel on the left and the item table on the right. These two areas work together; what you select in the organization panel determines what appears in the table.

What Can Live in a Folder

Folders can organize Documents, Issues, Change Controls, Tasks, and items from any custom Workflow module — as long as that module is enabled for your account. A single item can belong to more than one folder at once, so you're never forced to choose just one place for something that genuinely fits in two categories.
