Note: AI features will need to be turned on in the account before users can start to use its features. Please see the end of the article on steps to turn it on.
We are pleased to announce a significant new feature across our modules: the AI-Generated Advanced Filter. The core function of this initial release is to leverage artificial intelligence to combine the currently visible filter options into sophisticated queries. This means the AI will strictly utilize the existing fields and values you can already select, offering a powerful way to quickly translate complex data needs into accurate filter sets.
You can access the AI advanced filter by clicking on the icon highlighted below on the documents module, issues module, tasks module, and/or change control module full table.
Using the AI Advanced Filter
Note: The AI is trained only on the existing columns and filter options available in the Advanced Filters panel. It cannot filter data that is not already supported by the table.
From the full table, you will see the 'advanced filter option'. To use the AI generator, simply click the option to open the new AI generator panel. You can then type your desired filter prompt based on the data available in the table. After typing your request, click 'generate filter'. The AI will process your input and display the generated filter conditions below the prompt box for review. Finally, click 'apply filter' to update the full table with the results, and then click out of the filter box when the table finishes loading.
To clear the filter, click 'clear filter' and then manually delete the prompt text from the AI generation box. You can clear the filtered table by clicking back into the default view option.
As a note, you can save AI generated filtered search results as a saved table view by clicking the gear icon on the full table and clicking on 'create a new view'.
Note: If you would like to leave feedback that will be sent over to our product team about the filter, please do so by utilizing the feedback option in the filter slider box.
Turning AI Features on in the Account
From the Main Dashboard, select 'Settings >AI Features'. Next to the 'Enable AI Features' option, toggle the switch on. You can click on the 'AI Terms' and 'Privacy Policy' to review. After enabling AI, scroll down and toggle on which AI features you would like on in the account.
Tips
The AI is smart, but it has to follow strict rules based on the type of custom field you reference in your request. For the AI to successfully generate a filter, the value you ask for must match the field's data type.
Custom Field Input Rules
The most important thing to remember is that the AI needs specific inputs for specific fields:
Selection Fields: If you reference a Single Selection or Multiple Selection field (e.g., "Project Status"), the value you ask for must exactly match one of the options already configured for that field (e.g., "In Review," not "Reviewing Now").
Date Fields: Your requested value must be a recognizable date or time frame (e.g., "Show me documents signed before January 1st").
Yes/No Fields: The only values the AI can apply are "Yes" or "No."
Text & Role Fields: For most other fields, like Single Line of Text, Paragraph Text, User Selection, or Role Selection, you can use any descriptive text (e.g., "Contains 'Audit'," or "Equals 'Jane Doe'").
Number Fields (Decimal/Integer): The value must be a number. If the AI tries to set a word or phrase (like "High") for a number field, the system will show an error when you try to apply the filter.
When the AI Cannot Generate Filters
To keep things running smoothly, the AI will show the general error message, "Filters could not be generated. Please rephrase your request," in two main situations:
Impossible Values: You ask the AI to put a value into a field type that doesn't support it (e.g., asking for a Date field to contain the text "Urgent").
Searching for Empty Values: Currently, the system cannot generate a filter to find documents where a custom field is completely blank or empty. If you ask for this, the AI will fail.
