Note: Users can use the collaborative editing tool on files that are in Excel, PowerPoint, or Word Document format. Whenever a file is edited during the editing session it may take up to 5 minutes for the changes to be visible in ZenQMS.

 

Microsoft for the Web is a collaborative editing tool that allows users to edit a document as a group inside of ZenQMS. This collaborative editing tool will allow all edits to occur in the application in a controlled manner.

 

Authors, Document Category Editors, and Administration: Account Super Users will be able to initiate document editing sessions on draft, draft reviewed, and/or reviewed documents by clicking the collaborative editing symbol icon:

Once the collaborate icon is selected, a pop up will appear. The file name that will be opened for editing in the editing session will be displayed, as well as, the button to enter the session. Click the grey button to start the editing session:

The collaborative editor will open in a new tab. You can share this link with users to join the editing session:

Users that are invited to the editing sessions can mark up the file using the tool bar provided in the editor. Please make sure that the "reviewing" mode is enabled and track changes are turned on for "everyone":

When edits are added, authors can see the edits on the document viewer screen and also by clicking the version history icon. All collaborative editing activity is captured in the document audit trail:

Note: Users who have the collaborative editing link can always initiated a new editing session on their own as long as the document is in a draft state. Once the document moves from a draft state, the collaborative editing link will no longer function.
