The Training Module Dashboard
The training module dashboard is your main center for all training activities, providing a comprehensive, visual overview of user compliance. From this dashboard, you can quickly track which users are compliant, at risk, or overdue. It also lets you manage training assignments, access training content, and generate reports for audits and internal purposes. The dashboard features a training status pie chart and a pipeline chart.
The training status pie chart provides a visual representation of the various training statuses, clearly indicating the percentage of users in each category. The pipeline chart displays items that are past due, as well as those due within the current month and the next three months, allowing for effective tracking and management of training deadlines.
As a super user, you may switch views to the 'direct reports' dashboard and the 'my company' dashboard. You may drill down the widgets to a data table for more details.
Training Dossiers
The training dossier is your complete digital record of training, acting as a single, central point for all training assignment information. It acts as a comprehensive digital folder that automatically tracks every training assignment. This makes it incredibly easy to see at a glance if you are up-to-date on all required training. This feature eliminates the need for disorganized spreadsheets or paper records; it provides a complete and audit-ready training history with just a few clicks.
To access your personal dossier, from the training module view dropdown, select 'Training: Trainee Records'.
You will only see your name listed. To access the dossier, click the hyperlinked word 'dossier'.
Your dossier consists of three key sections:
At Risk/Non-Compliant: This section shows training items that are due soon or overdue.
Currently Assigned Files: Here, you'll find training items that are nearing their due date, those that aren't due yet, and items that are compliant.
Everything: This sections lists all items you have trained on within ZenQMS, no matter their status.
You can export your training dossier as a PDF, Excel file, or CSV file. To access the training dossiers of direct reports, view the entire company's training records, or check records for disabled users, simply select the appropriate option from the dropdown menu located at the top left of the page.
Accessing Previous Version Training Records from the Main Dashboard
When a document is updated to a new version number, the training records from previous versions will not appear in the current version. You can access these previous training records via the 'My Company' dashboard. To access the previous version training records of a document, navigate to the 'My Company' dashboard. Click on the view all option of the assignment status chart, then select 'Show Completed Training Records.' Enter the document name in the training item column. You can download the training record certificates for this version directly from the table provided.
