Note: Users that were previously assigned the role permission 'Can Create, View, and be assigned as Owners on SCORM' will automatically inherit new permissions at the document category level that the SCORM items are move to. These permissions are 'Can Create New Documents', 'Can Edit All Settings In This Category', 'Can Edit Any Document in Category', 'Can Edit Document Details, Category Defaults, Custom Fields, and Links/Attachments'.
Creating a SCORM Training Item in the Documents Module
Hover over the green plus navigation button at the top of your screen. Under 'create a new', select the SCORM option.
Give the training item a unique name, select a category, and add the target approval date. You do not have the option to toggle the training option on/off and it will be always toggled on. Click 'create' when ready.
Upon opening the Document Management screen, you can upload a SCORM .zip file or select a pre-purchased package from the Marketplace dropdown. You have the flexibility to edit the author(s) manually.
Add an effective date and adjust the target approval date, if necessary. Include a description and version comments. Please note that while the training fields toggle is mandatory and cannot be disabled, you can choose whether to grant automatic training records to authors and workflow participants. Finally, set the document review Interval, the user retraining interval, & complete any custom fields, and include relevant links or attachments.
After uploading the SCORM .zip file, you can preview the training content to ensure it displays correctly before activation. Once you have completed the preview and finalized all metadata, you may launch the item for either draft review or for approval.
Draft Review Process with SCORM in Documents
There is only one type of draft review that you can use with SCORM items and that is the sequential draft review process. To start, click the 'launch draft review' option. The sequential draft review slider will open. Select the users that you would like to complete the review and then launch the review.
All reviewers will access the draft review from the main dashboard, under the signatures needed section. Click on the key id of the document to start the review process. Reviewers can see the training information by clicking on the 'preview' option, or by downloading the original .zip package.
The review will need to add a comment, which is mandatory, and upload the updated package, if necessary. Once the review is completed, the user will click the 'submit review' option.
Once all reviewers successfully submit their reviews, the document will be in the 'reviewed' status and is ready to launched for approval.
Launching the SCORM Training Item for Approval
Click the 'launch approval' option. The configured workflow steps will be listed in the slider. Add a user to complete the step(s). You can add ad hoc steps, if needed by clicking the 'add another step' option. Click 'launch approval workflows' when ready.
All approvers can access the document from their 'signatures needed' section of the main dashboard.
The SCORM item can be previewed by clicking the document key id and then clicking the 'preview' option in the document window. The approver can delegate, approve, or reject the approval workflow from the main dashboard. Once the approver clicks the 'approve' option a slider will open to sign off on this action. Once the credentials are added, click the 'submit electronic signature' option.
Once all approval signatures are completed, the item will be in an approved or effective state and training can be assigned.
