Below is a recording of our Quality Lab: Deep Dive into Insights hosted by our Product Analyst, Brett Clark.
Q: Can you delete views you've created? Yes! You can modify or delete saved views on a dashboard at any time.
Q: Can you export the data from the Insights module? Yes, you can! You can export an excel or CVS file from any of the widgets.
Q: Does 'Author Supervisor' mean docs the supervisor has authored, approved etc? 'Author Supervisor' allows you to select the specific supervisor and display any items of authors who directly report to that supervisor.
Q: Do you have any suggestions for handling items that are counted as "Past Due" but really were completed on the calendar date the item is due relative to the location of the user? i.e., it is counted late because of the UTC time zone which differs from the physical location of the user. This issue causes "false" non-conformances in our company metrics reports. The behavior would depend on how the due date is set, e.g. if a due date is set to midnight UTC, any completions during the same day would technically be treated as "late." Insights converts all timestamps from the application to UTC by default.
Q: For Issue insights, can you get insights on custom fields for specific issue categories? We are exploring a paid "add on" for custom fields. Please reach out to us if you are interested in customizing this module.
Q: Is there a way to view issues by project due dates instead of stage due dates? The project due dates column is visible in the issue details when clicking on any of the widgets in the insights module!
Q: Is it possible to export the bar charts, too? Yes, you can export the widgets into a PDF by clicking on the 3 dots in the upper right corner.
Q: Is the data "Prev Period" from the exact previous period relevant to 'Date Range' selected? If yes, what if we selected a random 'Static Period', what will be the 'Prev Period' in that case? Yes, the "previous period" is relative to the selected date range. If you select a static 2-month period, the previous period should reflect the 2 months prior to that period.
Q: Can you pull data on reviewers too? Yes you can! If you click on any of the bars it will breakdown the data even further into more detail. You can then export that data.
Q: Is there a way to filter documents that were revised specifically as part of the periodic review and to view only those triggered by the scheduled review date? The current chart shows all documents reviewed, including revisions that were not triggered by the periodic review requirement. In the "Periodic Reviews" section of the Documents dashboard, we only show documents that have periodic review enabled (have a "review interval" set). This is the only data-level filter applied, so you currently you may also see "ad hoc" review workflows for those Documents in that section.
Q: What is the difference between a CSV and Excel export of data? Is there something different with one or the other that makes it recommended? I believe that the formatting would be slightly different (ie. cell color, size, font color, etc), but there isn’t much difference overall. The only other difference is that CSV files tend to download little more quickly throughout the system, as they are usually smaller in size.
Q: Can the custom fields specific to the company be filtered on? Custom fields can’t be filtered on for these stock dashboards. We will be creating a more advanced version of the Insights in the future, which will give you access to your custom fields. This advanced version would incur an additional cost, however.
Q: Please confirm that the metadata also pulls from the Training Events (Personal, OJT Training, Group). Yes it does.
Q: For issues and change controls, can the filters show how many stage deadlines have been prolonged? We do not currently display data on extension requests, but we hope to incorporate this soon!
Q: For determining overall training compliance, is there a way to view this without at risk documents? Yes, you can filter at the top by training type which can be tests, training events or file reviews. You can drill down even further by widget.
