With our 29.3.0 release, we now offer two distinct draft review options to enhance collaboration and streamline the document approval process:
Annotations on the PDF Viewer: This option allows users to directly annotate PDFs within the ZenQMS platform. Reviewers can add comments, highlights, and other markups directly onto the document, providing precise and visual feedback.
Collaborative Editing: This option enables real-time, simultaneous editing of documents by multiple users. This facilitates a more dynamic and interactive review process, allowing for immediate adjustments and collaborative refinement of content.
Annotate on Screen
Click 'launch draft review' at the document level.
The first option listed is for annotating on screen. Click on this option. Add the reviewers from the dropdown that you would like to perform this review.
Click 'launch draft review' when ready.
All reviewers selected will receive an alert on their dashboard, under 'signatures needed'. They will navigate to the draft review from their dashboard by clicking the document hyperlinked key id.
After clicking on the document key id from the dashboard, the draft review window will open. Apply the markups or comments and, when finished, click 'submit'.
Each reviewer selected will follow the same process to complete the draft review. Once all chosen users have submitted their markups or comments, the document will change to a 'reviewed' state.
The document author can review all markups and comments left on the draft by clicking the 'reviews and suggested edits' icon at the document level, make the changes to the file, and send the document off for approval.
Edit Online in Collaboration with Other Reviewers
Click 'launch draft review' at the document level.
The second option listed is for online collaborative editing. Please click this option. Add the reviewers from the dropdown that you would like to complete the review.
Click 'launch draft review' when ready.
All reviewers selected will receive an alert on their dashboard, under 'signatures needed'. They will navigate to the draft review from their dashboard by clicking the document hyperlinked key id.
Once they click on the key id from their dashboard, a collaborative editing pop-up will appear. Click on the button shown below to open the collaborative editing session. The session will open in a new tab.
Note: Please make sure that the setting highlighted below is set to 'editing' and track changes are turned on for 'everyone'.
When you are finished with the markups or comments, close the collaborative editing tab and go back to the application.
Click the 'complete review' button to complete your portion of the collaborative editing.
When all selected users complete the collaborative editing, the document will be in the 'reviewed' state; all comments will be visible in the document viewer.
The author of the document can take the markups and comments in consideration, modify the file, and upload a new file. Now the document is ready to go through the approval workflow.
