Training Courses
Training Courses are created to plan, track and manage employee training. Training courses are a great way to assign multiple documents to a user or role; we in fact recommend using courses to assign document training items.
To create a training course, select "training: courses" from the training dashboard dropdown:
To create a new course, click create course. Enter a name for your course and click create once more:
Once the course is created, you will land on the course management window. Here you can add the details of the course, add documents and/or OJT events to the course syllabus, and assign users to the course once it is active:
Training Tests
Tests are seen as one time events (similar to how tests act in a school or training setting), so they cannot be assigned to courses, nor can a retraining interval be applied to them.
Tests are more comprehensive and track more information than training challenge questions, which we see as a simple way to quiz your users to confirm they have read a document. Users will have to reach a certain score in order to pass and you can determine how many attempts they have at passing, as well as see how long it took them to take the test, and what their answers were. When a new test needs to be taken, the old test can be duplicated or a new test can be created.
To create a test, please select training: tests from the training dashboard dropdown:
Click add new test:
Name the test and click create. The test management review window will open. Under the details section, you will add the appropriate information. You have the option to link other application items to the test. Once all the information is filled in, click on the questions tab and add your test questions. Save your work by clicking the save button and launch the test for approval so that it can become effective/active.
Once the test is active, you can add and manage assignees by clicking the manage assigned trainees/results button:
In the trainee management window you can add users and/or roles to the test from the dropdown. All test attempts are managed in this window as well. The trainee table can be exported and there are group actions and deletion of non-compliant users options.
Training Events
There are three different types of training events that can be created in the Training Module. They are OJT Events, Personal Events, and Group Events.
OJT Events
An OJT Event behaves like a document training item because it can be set to recurring training intervals and assigned to a training course. OJT events differ from Group or Personal events in one key way, they don't need to be formally approved to be assigned/used. The other critical point about OJT Events is that users do not sign off on these events. OJT compliance is set by a trainer (who owns the OJT Event) or a user with the correct permissions, who can select the attendee for an OJT event and mark them compliant. Selected users can be forced to Retrain on OJT events:
Personal Events
A Personal Event is like a class and/or training that users completed outside of their company. A user with the correct permissions can also create a personal event for another user. Users can create the event, enter the date of the event, add event details and add file attachments. The personal event will need to be triggered for approval and signed by the organizer, but it will also need to complete a final approval by their direct manager. Once the user's direct manager signs off on the event, it will be marked as "compliant" for the user. A direct manager is the assigned supervisor for a user:
Group Events
A Group Event is an event that occurs on a specific date and time. The event organizer (who owns the event) assign trainees to the group training event. When that date and time comes due, each trainee will get a training assignment in their training dashboard to sign off for completion of the training event. The trainees attend the group training event and then sign off in ZenQMS themselves. This event type is the only type that a trainee signs off for to acknowledge completion:
