Note: Users will need the permission Configuration: Document Categories to access the document categories section of the application, but can not take any further action in this section unless they are assigned additional permissions at the category level. Users will need to be assigned to the Administration: Account Super User role to create new categories.

 

Document category Key IDs allows you to choose your own unique prefix for the document category you are creating, (ex: SOP, TRN) which will be applied to all documents in that category.

 

New Document Category

When creating a new document category, you will be required to create the category Key ID and a Key starting number for the document category:

The Key IDs rules are as follows:

 

  1. Has a 25 character limit
  2. Special characters that can be used: Single Quote ( ' ), Double Quote ( " ), Dash ( - ), and Underscore ( _ )
  3. Must be unique and can only be used once
  4. Can be edited after they are created
  5. Starting numbers must start with, at minimum, the number "1". 

 

After clicking create, the category management window will populate and you will see the Key ID information which includes the document Key ID preview:

Note: The next document Key ID number available at the document category level updates in real time in the document category management window shown above. The number displayed on the Document Key-ID Preview line will be the next Key ID number given to a document that is assigned to this document category.

 

Updating Existing Document Category Key IDs

If you need to update your document category Key ID and the document Key IDs for the documents in the category(s) being updated, please submit a ticket to our ZenQMS Help Desk at help@zenqms.com. We will provide an initial report of the current category & document Key ID information and will instruct on how the report will need to filled in on your end to complete the technical request.
