Here are some tips and tricks for getting started using the new features that are coming with 2023.1:
- Moving Groups management from Administration > Configuration > Groups/Permissions into Settings > Account > Roles/Permissions. In order to support this, all Legacy Groups will be migrated into Account Roles.
- You will now be creating and managing your groups in the Roles & Permissions section. While you still can manage the permissions for each group via Administration > Configuration > Groups/Permissions, we have added a link in the Role Management window that will allow you to access the section of the system easily. Select the Role you need to grant permissions and click on the link "Click here to manage Documents, Training, Audit Reports and Other System Permissions"
- The merging of Groups and Roles will eliminate the column "Groups Assigned To". If you have a saved Table View, you will want to edit this view to now use the "Roles Assigned To" column. To do this, please select your Table View, update the table to include "Roles Assigned To", click "Save View", and select "Update Current View"

- Ability to Merge two Account Roles together.
- HOW TO: Merge User Groups and Roles
- To avoid having to duplicate management efforts, we recommend merging your two roles together or going through your current configuration and eliminating any roles you no longer need.
- Please note: existing Roles/Groups cannot be merged with the Default Roles (Administration: Account Super User and All Account Users). If you are looking to have one Super User role, we recommend providing the Administration: Account Super User Role with all necessary legacy permissions. Once complete, please replace the legacy Super User group with the Administration: Account Super User role throughout the legacy modules. You can see where the Legacy Super User group is assigned/used by clicking on the group in Settings > Roles/Permissions.
- Introducing “All Account Users” Account Role as a default role for every member account.
- Please note: all users in your account will be added to this role automatically.
- Ability to add Account Custom Fields into the Users Table and edit custom field values for single/multiple users, as well as importing values using Configuration Import/Export tool.
- PDF exports are now sent to the My Downloads page and an entry is visible in the Audit Trail table whenever a Change Control/Issue/Task is exported to PDF.
- To access the "My Downloads" section, please click on the green + at the top of the screen.
- Enforce "Title" as a required field for all the Users in the Account
- Please note: if a user does not currently have a title in ZenQMS, if the user information is being managed, a title will need to be added in order to save.
- Ability to edit User's Site from Edit User slider & Adding Site Name as a column in Users table
- Requests will no longer need to be sent to the ZenQMS Help Desk to add or update a user's site. You will now be able to do this from the User Table.
- HOW TO: Navigate the User Table and Manage Users
- Draft Tasks to be visible for all stage assignees
- Stage assignees will now be able to approve tasks created for future stages
- All Tasks in that stage to automatically move to Active once a stage has been started
- A feature we had in Issues Version 1 that we are bringing back. Draft tasks created prior to opening of their assigned stage will now automatically move to active when that stage has started
- Please note: draft tasks that do not have a Task Assignee will remain in a "Draft" status.
